Tuition is a repeating service, so the cleanest bill is one that looks the same every month: the subject and month in the description, the fee, and any extras on separate lines.

What a tuition fee bill should show
Write the student's name and class, the parent's name and phone number, the subject or batch and the month the fee covers. Add a bill number, the issue date and the due date, for example the fifth of every month. Show the fee as a line such as “Mathematics, Class 10, October 2026” so that nobody can confuse it with another month. Add separate lines for study material, practice papers or a test series, and finish with the total and the mode of payment.
Invoice versus receipt for monthly fees
An invoice asks for payment; a receipt confirms that payment was received. Many tutors issue only a receipt after the parent pays, and that works for small classes. If you want fewer reminders, send the invoice at the start of the month with a due date, then mark it paid when the money arrives. Registration, material and test fees
Charge a one-time registration or admission fee on the first bill, and name it as such. Study material, printed notes and mock papers should have their own line so that parents understand they are separate from the teaching fee, and so that you can adjust them without changing your standard monthly rate. If you run a test series or a crash course before board exams, list it as a distinct item with its own dates and price.
Missed classes, make-up sessions and refunds
The most common arguments in tuition are about classes that did not happen. Decide your policy and print it at the bottom of the bill: whether missed classes are made up, how much notice you need for a cancellation, and whether fees are refundable if a student leaves mid-month. A short, consistent policy is more important than a generous or strict one. If you make up a class you cancelled yourself, you can note it on the next bill so the parent sees you are keeping count.
Teaching students abroad
Online tutors increasingly teach students in the Gulf, the United Kingdom, the United States and elsewhere. Invoice in the currency you agreed, list the sessions and the hourly rate, include your bank or payment-platform details and keep the proof of foreign payment. Tax notes for tutors
Education services have special treatment under indirect tax, and the position for an individual tutor differs from that for a coaching institute, so the safe course is to ask your CA before putting any tax on a bill. An unregistered tutor cannot charge GST. Keep your fee records, bill copies and bank statements for the year; they support your income-tax return, and presumptive-tax options may apply to professionals, which your CA can explain.
