Line items to put on a salon invoice

A salon bill is really three kinds of line mixed together: services, retail products and prepaid packages. Showing them separately makes the bill easier for the client to read and makes your end-of-day totals much easier to reconcile.

What a salon invoice should contain

Start with the salon's name, address and phone number, then the client's name and mobile number. Salons that rely on repeat clients should always capture the mobile number, because it lets you look up past visits and send reminders. Add a bill number and the date and time of the visit.

List each service on its own line with the price, and where it matters to your pay structure, add the name of the stylist or therapist beside it. Retail products come after the services with their own quantities and rates. Finish with the subtotal, any discount or package redemption, tips if they are paid by card or UPI, and the final amount paid with the mode of payment. A footer with your cancellation and refund policy takes up very little space and prevents most arguments.

Separating services from product sales

Selling shampoo, serum or a hair colour kit alongside a service is a good source of margin, but it is a different kind of income. Put product lines in their own block of the bill. You can then see at a glance how much of a day's revenue came from services and how much from retail, and a client who returns an unopened product has a clear line to refer to. If you track stock, the product name and size on the bill make it easy to match sales against what left the shelf.

Prepaid packages and membership balances

Many salons sell packages such as five facials, a monthly hair-care plan or a bridal prep series, usually paid for in advance. Treat the sale of the package as its own invoice for the full amount. Then, each time the client redeems a visit, issue a bill that shows the service, a package redemption for the same value and a zero amount to pay, with the remaining balance printed at the bottom.

This is far more transparent than telling the client “you have two sessions left”. It also gives you a paper trail if a client claims they bought a six-session package and you recorded five. Print an expiry date on the package invoice if your policy has one, and honour it consistently.

Bridal and event bookings

Bridal makeup, party makeup and group bookings need a different approach from walk-ins. Take a booking advance, state clearly whether it is refundable, and put it on a proper invoice with the date, the timing, the travel charge if you go to the client's home or venue, and the services included. List trial sessions as a separate line. For group bookings, state the number of people and the per-head charge so that last-minute additions are billed at the agreed rate rather than argued over on the morning.

Handling tips and discounts

If clients tip by card or UPI, show the tip as its own line so that it is not mixed into your service revenue, and record who receives it. Discounts should also appear as visible lines, with a reason such as a festival offer or a referral, instead of being absorbed into a lower service price. That keeps your standard price list intact and lets you see exactly what each promotion is costing you.

GST and records for salons

Whether a salon charges GST depends on whether it is registered, and registration depends on turnover and the state you operate in. A salon that is not registered cannot charge GST and should not print a tax line on the bill. A registered salon must issue proper tax invoices following the GST rules, and your CA should confirm the correct rate and the invoice details. Either way, keep a copy of every bill, in the order of the bill numbers, for the full financial year. Daily cash-register totals should always agree with the sum of the bills for the day.
